Job Description

Job Purpose: To play a pivotal role in driving organizational success by efficiently managing human resources and administrative functions by attracting, developing, and retaining top talent essential for maintaining competitive advantage and meeting rapid production and distribution demands. This involves overseeing recruitment, training, and performance management to enhance job satisfaction and productivity, ultimately contributing to the organization’s overall efficiency.

Additionally, the HR & Admin Manager is responsible for optimizing administrative processes to support the smooth operation of daily activities, including facility management, procurement of office supplies, and ensuring compliance with industry-specific regulations and safety standards.

Responsibilities:
1. Collaborate with senior management to align HR and administrative practices with organizational goals and strategic objectives.
2. Support organizational change initiatives and manage the impact on employees and administrative processes.
3. Foster a positive organizational culture through employee engagement initiatives, recognition programs, and team-building activities.
4. Develop and execute recruitment strategies to attract top talent. Manage the end-to-end recruitment process including job postings,
screening, interviewing, and onboarding.
5. Manage both the onboarding and offboarding processes, ensuring a smooth integration for new hires and a seamless transition for departing employees
6. Identify training needs and coordinate training programs to enhance employee skills and knowledge & carrying out Training Programs within Budgets
7. Act as a point of contact for employee issues, resolve conflicts, and provide support to maintain a positive workplace environment.
8. Monitor the Time & Attendance of all employees thereby managing entire salary processing cycle & address employee queries related to pay and benefits.
9. Ensure adherence to labor laws/ Statutory compliance, regulations, and industry standards. Keep abreast of changes in employment legislation and update policies accordingly.
10. Ensure timely payment of statutory compliance (PF, ESIC, PT)
11. Preparation and implement various HR policies, SOP and various processes as and when required
12. To ensure discipline is maintained in the organization
13. To implement & monitor Performance Appraisal Process, provide feedback, and support employee development initiatives. Implement performance improvement plans as needed.
14. To conduct Employee Engagement & Employee Alignment Activities such as Birthday celebrations, skip level meetings, employee counselling
15. Oversee day-to-day office operations, including facility management, procurement of office supplies, and equipment maintenance.
16. Develop and enforce administrative policies and procedures to ensure efficient operations and compliance with legal requirements
17. Issuance of required letters to the employees on a timely basis
18. To Ensure Systems & Process are being followed in all the Department
19. To facilitate Employee Retention & Productivity
20. To Create a Strong Brand Image in the minds of Prospective Employees.
21. Upgrading self & team with latest happenings & developments in HR across Industry
22. Succession Planning – To ensure development of Team Members who can grow into the next level
23. Maintain accurate records of employee information, administrative documents, and other relevant data.
24. Making & Analyzing MIS Reports & keeping Management Updated of the same
25. Should be Punctual and Committed
26. Prepare the budgets
27. Take care of welfare activities
28. Industrial relations and officer management
29. Any other tasks as assigned by the management

1. Time-to-fill vacant positions
2. Employee satisfaction scores, retention rates, and resolution of employee grievances.
3. Completion rate of performance reviews, improvement in employee performance metrics, and effectiveness of performance improvement plans
4. Training completion rates, employee feedback on training programs, and improvement in job performance post-training.
5. Accuracy of payroll, benefits utilization rates, and employee satisfaction with compensation and benefits.
6. Efficiency of office operations, maintenance of administrative records, and response time to administrative requests.
7. Compliance audit results, number of compliance issues or violations, and successful implementation of risk management strategies
8. Incident rates, safety training completion rates, and compliance with health and safety regulations.
9. Successful implementation of HR initiatives aligned with strategic objectives, and contribution to organizational growth and change management.
10. Adherence to budget, cost savings achieved, and financial reporting accuracy.

KPIs
1. The average number of days taken to fill an open position from the date it is posted.
2. The performance and retention rates of new hires within a specified period
3. The percentage of employees who leave the organization within a given period.
4. Measurement of employee satisfaction and engagement through surveys and feedback.
5. The percentage of employees who complete required training programs
6. The percentage of scheduled performance reviews completed on time
7. The percentage of employee workdays missed due to unplanned absences
8. The total cost associated with recruiting and hiring a new employee
9. Measurement of how effectively administrative tasks are completed, such as processing times for requests or maintaining records
10. Effectiveness in managing office facilities, including maintenance and support services.
11. The extent to which administrative expenditures stay within the allocated budget.
12. The percentage of administrative practices and policies in compliance with legal and regulatory requirements
13. Measurement of employee satisfaction with administrative support and services
14. The percentage of administrative records and documents that are accurate and up-to-date
15. The average time taken to respond to and resolve administrative requests or issues.
16. The percentage of compliance with health and safety regulations and protocols.

Requisite Skills:
1. Should have hands on experience in End to End recruitment across all levels.
2. Should have used all Channels of Recruitment (Job Sites, Social Media, Campus, Employee Referral, Head Hunting, etc)

4. Should understand Compensation Structures
5. Should have a pleasing personality & soft skills
6. Should display Good Leadership skills

11. Have done regular MBA /PGDBA.
12. Able to handle the pressure and ready to work on the set targets.
13. Strong understanding of HR laws, regulations, and best practices
14. Ability to handle sensitive information with discretion and professionalism
15. Proficiency in HR software and Microsoft Office Suite.
16. Should be from Manufacturing/ FMCG (preferable) background

Total Experience:
5 to 6 Years (Managerial position for min 2-3 years)
